Minutes for Gathering of Quilters Board Meeting, August, 2009

Call to Order

Minutes: Accepted

Officer/Committee Reports:

President: Contract has been signed for one year at Elks Club, Holland-Sylvania Road.

Vice President: absent

Treasurer: Report presented. Motion to accept: Rhonda Kistner, second: Colleen Florkowski. Approved. See Treasurer’s report for details.

Membership: The format of the 2008-09 membership list will be repeated for 2009-10. Membership list will be available in November, with email updates. Printed updates will not be available. Membership cards will retain current format. Members must show their cards at door to obtain entry to meeting. Extra staff will be on hand to expedite this for September meeting.

Programs: Tentative speakers are scheduled. No contracts signed.

Secretary: Minutes will be emailed to President. The secretary will print no minutes due to budget restrictions.

Program Book: It is two pages less than 2008-09 version. No increase in cost of printed incurred from 2008-09.

Challenge and Fat Quarter Raffle: No report.

Historian: Gathering received thank you note from Ronald McDonald house for pop tabs. Their goal this year is 35000 pounds. 

Retreat: Dates confirmed at March 19-21, 2010. Three people registered as of 8-20-09.

Publicity: Six hundred cards were printed. Packets of cards were mailed to 12 stores in the area. Cards to pass were distributed to Board members.

Refreshments: All supplies needed are in committee’s possession.

Prizes: No prizes yet obtained.

Newsletter:  Need to cut costs. Will not be mailed to entire membership due to Budget, see Treasurer’s report. No photos, black and white only . The number of snail mail newsletters will be limited..

Unfinished Business:

Website: Peverly has updated website. Any information needs to be sent to her by last weekend of the month.

T-shirts: The guild t-shirts will be sapphire (blue),100% cotton, with the guild logo embroidered in white. Cost of the shirts will be $18. There will be a try-on table in the back of the meeting room in September and November. Members may select their sizes and order shirts at that time. The shirts will be available for pick up in January, 2010. This is a major fund-raiser for the guild.
