Gathering of Quilters Board Meeting, October 2009

Minutes from last Board meeting: Approved.

Reports

President Chris Olwick: Board meeting will continue to be at Elks Lodge until further notice. Committee members are encouraged to eat dinner at the lodge since Board meeting time is donated. Nina picked up mail and forwarded to Chris.

Vice President Kathy Kanitz: resigned from her position. A nominating committee will be formed to find candidates for her replacement.

Five long tables will be set up for November meeting, with 130 chairs. The speaker system is being addressed. There is a wireless microphone available at the Elks. Chris will talk to Elks point person to obtain. There are four electrical outlets on the bar wall.

Treasurer Nina Riddle: 50/50 raffle raised $72. Winner of raffle got same amount.

Membership Jill Holt: 123 members at September meeting, 36 are new to the roster, five visitors. Members need to have membership card ready to show at door to facilitate quick entry to meeting.

Programs Eleanor Grabarczyk and Chris Stoker: will send contract template to Nina. The committee will introduce and present the speaker.

Secretary Denise Domanski: no report.

Program Book Rhonda Kistner: Programming Booklet will continue, as recommended by Board.

Fat Quarter Raffle Rhonda Kistner: $87 was raised in Sept. fat quarter raffle. 75 fat quarters, split into three groups of 25. High participation raffles will be split into groups of 20-25, as appropriate.

Historian Candy Colleen Rudd: photos will be uploaded to website only with permission from subject, due to privacy concerns.

Retreat Diana Lindhorst: 16 people have turned in deposit as of October 21. At least four more people are needed. The space can hold as many as 36 quilters.

Publicity Carol Fleitz: letters to local papers ready to be sent. 101.5 radio station and DoToledo have been contacted.

Refreshments Debbie Linnenkugel and Wanda Dyer: More help will be needed for potluck next year, to arrange dishes and clean up.

Prizes Colleen Florkowski: no report.

President’s Door Prize Chris Olwick: It is up to the President’s discretion to give out door prizes. This is a fun activity that Chris has chosen to do. It is not a formal part of the meeting, and will depend on availability of prizes. She has old quilt and a cookbook for November.

Newsletter Hattie Kate Howell: $.44/person plus mailing costs. Newsletters were available at meeting. Not many were taken.

T-Shirts Candy Colleen Rudd: the shirts will be $18 for all sizes. Test sizes will be at November meeting.

Roster Jill Holt: Rosters will be given out in November. A small number of updates will be available. Membership roster WILL NOT BE PUT ON WEBSITE due to privacy and security concerns.

November Meeting program: will included Quilts of Valor and Project Linus, and any charity a member contacts an Executive Board member (Chris, Denise, Nina) about. Each charity will bring their own supplies for their table’s activity. There are only four outlets available, so sewing machines are discouraged. This is a fun night for members to get to know each other and donate their talents to charities.

There will be no Board meeting in December due to the holidays.
